In compliance with the General Data Protection Regulation (EU) 2016/679 (GDPR)

AIDA offers its AIDA Students and Lecturers access to a wealth of knowledge through AIDA Educational and Training Activities, in the form of AIDA courses, events and resources offered by AIDA Members of any type.

AIDA supports its operations using the AIDA portal, installed in the IT infrastructure of the Aristotle University of Thessaloniki (AUTH), which is the data controller. AUTH in order to promote: i) the number of users (AIDA Lecturers/Students, portal administrators), ii) attendance of AIDA courses by AIDA Students,  and iii) participation in events, as well as for administrative purposes, such as the provision of AIDA Certificates of Course Attendance (CCA), collects and further processes personal identity data (name and surname), contact details (in the form of electronic mail), student performance in AIDA courses (grades, ECTS, comments) (AIDA Data).

AUTH also collects, using cookies, personal data of its users (google analytics, internet protocol (IP) addresses, usage data, etc.), in order to improve and evaluate the services provided by the AIDA portal. User consent for the use of cookies is obtained by a relevant pop-up window during their initial visit. More details on cookie policy can be found in the Section below.

In addition, AUTH manages a series of email lists for the execution of AIDA Educational and Training Activities and for dissemination/communication purposes. Subscription to these lists is optional and deletion is available, as stated at: aida@lists.auth.gr at the following address: https://lists.auth.gr/sympa/info/aida

The legal basis for the lawfulness of processing of AIDA Data is: a) necessary processing of personal data for AUTH’s performance of a task carried out in the public interest  (Article 6.1(e) GDPR) to provide higher education as defined in article 16 of the Greek Constitution, and b) consent of the data subject (Article 6.1(a) GDPR) for the purposes of subscribing to the email list, participating in events and processing cookie data.

Access to AIDA data is limited to AIDA Lecturers, who process personal data related to the AIDA courses they teach, in order to: a) verify the identity and status of AIDA Students, and b) store the performance of AIDA Students in the relevant AIDA courses. Furthermore, access to AIDA Data will only be granted to persons authorised by AIDA governing bodies (Coordinator or Management Board or General Assembly) for the performance of AIDA administrative, technical or secretarial activities.

AIDA personal data is not transferred to other third parties. Only upon a Data Sharing Agreement between AUTH and an AIDA Member can AIDA Data be transferred to the contracting AIDA Member and only for the purposes of AIDA. In this case, the AIDA Member is the data controller. If AIDA personal data is transferred to a country outside the European Economic Area, AUTH ensures that this transfer complies with the provisions of Chapter V of the GDPR.

Cookie data is shared with providers in accordance with the cookie policy.

AIDA data will be retained on the AIDA portal until the user is deleted for any reason and the cookie data is deleted in accordance with the cookie policy.

AIDA Portal Cookie Policy. AIDA may use cookies to memorize user login data, collect statistics to optimize the website’s functionality and to carry out marketing actions based on your interests.

Cookies are small text files stored in your computer system by the browser used by you, through which we (the server of the AIDA Portal) obtain certain information. Cookies cannot execute any programs or transmit viruses to your computer. They serve to make internet offers more user-friendly, more effective, and quicker. Cookies are distinguished between session cookies (transient cookies) and permanent (persistent) cookies. All AIDA portal necessary cookies are transient, session cookies.

Session cookies store a so-called session ID, through which queries of your browser can be allocated to the joint session. They allow us to identify your computer when you return to the AIDA Portal platform. Session cookies are deleted when you log out or close the browser.

You can set your browser such that you will be informed about the setting of cookies and you can permit cookies in individual cases only, exclude the acceptance of cookies in certain cases or in general, and activate automatic deletion of cookies when closing your browser. When deactivating cookies, functionality of the AIDA Portal platform’s authorization server may be limited.
